The Governing Body and local committee discussed the proposed programme, tentative budget, accommodation, departmental preparedness, documentation and communication for the proposed 2026 meet. These minutes record discussion on 11 October; the later 23 October withdrawal notice governs the event’s current status.

The minutes did not finalise the revised budget, programme schedule, bank authorisation or official communication procedure. They reported that Sunita Bari would take over the GB Coordinator role from Arjun Kumar Sinku, following a separate GB decision on 9 October.
